POSITION: Business ManagerLocation: Remote (Globally)
Schedule: Monday to Friday, approximately 25 – 40 hours per week
Compensation: 1200 - 2000 USD/month
Note: Independent contractor position
WE'RE LOOKING FOR SOMEONE WHO HAS:
* Administrative & Organizational Support Provide ongoing administrative support to the Executive Director.
* Coordinate meetings, scheduling, calendar invitations, attendance, and relevant meeting information.
* Maintain organized employee, contractor, volunteer, and organizational records.
* Enter and maintain accurate information within administrative and organizational systems.
* Prepare and update organizational, legal, compliance, and operational documents.
* Maintain tracking systems for recurring deadlines, renewals, filings, and organizational requirements.
* Document recurring administrative tasks and improve templates, forms, checklists, and workflows.
* Proactively alert leadership when deadlines or required actions are approaching.
* Systems, Process Improvement & Knowledge Management Partner with the team to document, organize, and refine Standard Operating Procedures (SOPs).
* Transform organizational knowledge and existing practices into clear, accessible processes.
* Identify workflow inefficiencies and develop practical improvements.
* Maintain and improve the organization's internal company website.
* Develop systems that make institutional knowledge accessible, current, and easy for staff to navigate.
* Create templates, tools, and documentation that improve organizational consistency.
* Periodically review existing systems, gather staff feedback, and make improvements as needs evolve.
* Project Management & Team Accountability Develop, refine, and manage the organization's project-management system.
* Translate organizational priorities into clear projects, tasks, responsibilities, and deadlines.
* Ensure staff understand upcoming deadlines and their individual responsibilities.
* Monitor project timelines and proactively follow up on outstanding tasks.
* Help employees use the project-management system consistently and effectively.
* Support realistic workload planning, time management, accountability, and follow-through.
* Identify stalled projects, competing priorities, and workflow bottlenecks.
* Work with leadership and staff to determine next steps and keep projects moving.
* Support periodic reviews of organizational priorities and ensure staff time remains aligned with key goals.
